Scope

This policy explains how Neat Trucking Inc. collects, uses, shares, retains, and protects information through NeatCrew, its employee operations and communication platform, including the mobile application, employee portal, and related services.

Information we process

Depending on your role and use of NeatCrew, information may include your name, business contact information, profile photo, job role, assigned terminals, device and session information, notification tokens, profile content, and account activity. The platform may also process operational records such as routes, performance metrics, fleet and maintenance information, work orders, PTO requests, worksheets, business discussions, and employee records authorized by Neat Trucking.

Chat content may include messages, reactions, delivery and read status, photos, audio, files, contacts, events, polls, and a location only when a user chooses to share it. Camera, microphone, photo-library, location, and notification permissions are requested only for features that need them.

How information is used

Information is used to authenticate users, enforce role and terminal permissions, provide company communication and operational tools, maintain safety and business records, deliver notifications, diagnose crashes and service problems, prevent misuse, support users, and meet contractual or legal obligations.

Sharing and service providers

Neat Trucking does not sell personal information collected through NeatCrew. Information may be available to authorized managers, administrators, coworkers, or company personnel according to the feature and assigned permissions. It may also be processed by trusted providers that support hosting, databases, file storage, authentication, email, push notifications, maps, diagnostics, and security. Information may be disclosed when required by law or to protect people, company systems, or legal rights.

Retention and deletion

Information is retained for legitimate operational, employment, safety, security, contractual, and legal needs. Retention varies by record type. Chat attachments may be removed automatically under storage-retention controls. Deleting a direct conversation removes access to the earlier history for that user; when both participants delete it, its messages and attachments may be permanently removed. Authorized deletion of a group or channel permanently removes its content for all members.

Security

NeatCrew uses access controls, authenticated sessions, role-based permissions, encrypted network connections, restricted file access, monitoring, and other technical and organizational safeguards. No system can guarantee absolute security, so users should protect their credentials and promptly report suspicious activity.

Your choices and requests

Users can manage optional device permissions through device settings and can update supported profile information in NeatCrew. Requests concerning access, correction, or deletion of company-controlled information should be sent to Neat Trucking. Some records may need to be retained where permitted or required for business, safety, employment, dispute, or legal purposes.
